Financial Coordinator

The Financial Coordinator is responsible for recording deposits, paying bills, managing on-site cash and POS systems, issuing invoices, facilitating payroll, and creating monthly reports.

Accounts Receivable
• Receives and processes all accounts receivable payments.
• Calculates daily and weekly deposits.
• Creates invoices for sponsorships.
• Maintains deposit records in Quickbooks and PatronManager.
• Records rental income.

• Calculates payroll each pay period.
• Works with payroll service to ensure correct payment for all exempt staff.
• Calculates pay for all part-time, non-exempt staff and reports it to payroll service.
• Provides biweekly EE report to Executive Director.
• Processes PTO requests and facilitates annual PTO carryover for staff.
• Maintains the Sick Leave Bank.
• Calculates and remits staff contributions to Simple IRA.
• Maintains personnel files for staff members.

Accounts Payable
• Calculates rental ticket reimbursements.
• Processes invoices and remits payment through Quickbooks.
• Maintains records of gift card sales.
• Request and maintain W9s from vendors for 1099 reporting.

Donations and Sponsorships
• Processes individual donations, memberships, and sponsorships in PatronManager.
• Creates invoices for sponsorships.
• Prepares thank you letters for donations, memberships, and sponsorships.

• Manages cash on site for events and daily operations.
• Creates and supervises cash procedures for large events.
• Implements cash security processes.

Financial Reporting
• Prepares monthly activity reports for Square and PatronManager.
• Reviews monthly actuals reports from Accountant.
• Monitors cash flow and reports status to Executive Director.

• Manages Square POS system.

Other Duties
• Box office sales
• Answer phones
• Serve customers and visitors
• Sell merchandise
• Other duties as needed

Job Requirements:
• Bachelor’s Degree
• Experience in QuickBooks Online, payroll, and AR/AP
• Nonprofit experience preferred
• Some light lifting required

This is a 40-hour/ week in-office position with no remote work options.
